Our main privacy policy objectives
At TropiQuest, we use your information to give you the best quality of service, and our main duty is to secure this information and use it the way you want. Our main objectives are the following:
- apply security and confidentiality standards to keep your information safe,
- give access to your information to authorized employees for communication, service improvement and company management,
- share your information, with your prior agreement, with third parties once you confirm your interest in specific services (hotels, activities, cruises, and so on),
- let our travelers access their private information on request.
The information we collect and keep
TropiQuest collects general information. When you send us a request, we usually ask for the following personal details:
- name, address, email, phone numbers, city, country of residence,
- information about planned trips: destinations you like, how many people travel with you, your budget, your travel dates, and your travel requirements and preferences,
- other traveler information such as passport data, travel insurance, credit card details, and flight tickets. We also collect IP addresses to obtain statistics such as the number of visits on our websites, the bounce rate, and the location of our visitors. This type of information helps us offer a personalized service to our clients.
However, we never collect:
- sensitive information such as religion, politics, race or health, unless the services you ask us to provide require it (for example, disabled access, or access to a medical center during a travel emergency),
- personal information of children under eighteen years old, unless we obtain written consent from the parents, or unless the services you ask us to provide require it (for example, access for disabled children, allergies).
How we collect and keep your information
We collect your information through the following methods:
- from request forms on our website, from written forms at events, or on our social media,
- from online booking engines on our partners’ websites when you enquire about a program or ask for a tailor-made quote (see the “Third parties” section for the list of partners from which we collect your information),
- during one-to-one conversations at our events, or during personalized conversations with our Travel Experts by phone, mobile or any other messaging technology,
- from responsible travel organizers who received the travelers’ prior approval to pass their personal information to TropiQuest so we can offer the most personalized services,
- from emails sent by our travelers and prospects to our contact email address,
- from booking and comment forms on the web.
We keep your data for the period needed for the following purposes:
- newsletter and commercial offers: we keep your data as long as you stay subscribed. You can change this setting at any time and unsubscribe — see the “Removal from our marketing lists or access to your personal information” section.
- travel quote request and travel arrangement: we keep your information for the period needed to prepare your quote and run your trip.
- with no contact from you for five years, we archive your personal data for five more years before final deletion.
How we use your information
We collect your information to:
- identify you, understand your needs and reply to you when you make a request,
- inform you by sending our newsletter about our latest programs or promotions,
- adapt our offer day to day to your needs,
- personalize our communication and improve our product strategy based on your characteristics or preferences,
- comply with the law or with any legal authority that requires it,
- finalize your booking and give our partners the information needed for your trips: as a travel agent, we provide services on behalf of other suppliers (hotels, transport, cruises, insurance, activity companies).
Third parties
Third parties are the companies to which we disclose, or from which we collect, your personal information, such as:
- other legal entities or companies of the TropiQuest group,
- companies that provide TropiQuest with specific services such as:
- information systems, IT, email and digital providers,
- social media or communication agencies,
- travel suppliers and travel organizers,
- any company, organization or person that may have asked you to provide your personal information and that you gave the right to share it with TropiQuest (for example, your group coordinator).
Cookie technology
The purpose of cookie technology is to help visitors get a better interaction between our websites and their internet-enabled devices: a cookie is a piece of data sent by a website that we keep temporarily on your computer or internet-enabled device. When you access our website, TropiQuest uses cookies to collect and use information to track your user preferences and offer you relevant products and ads. You can change your browser settings at any time to accept or delete cookies, or to receive a warning when cookies come into use.
Security
We store your personal information on servers with limited access. We work hard to protect the security of these servers and of your personally identifiable information.
Policy changes
We invite all our visitors, guests and partners to check this page on a regular basis, where we will add any change to this privacy policy later on. Rest assured: we will use the information collected under this privacy policy only with your consent if the privacy policy changes in the future.
Removal from our marketing lists or access to your personal information
We will miss you… but if you prefer to stop receiving our notifications, we will respect your choice. You can unsubscribe from our newsletters through the last newsletter you received, or contact us through our form. We will remove you from our mailing list and send you an email confirmation. You can ask to access or delete your personal information by sending an email to the same address.
